How Quotas Work
What Counts as 1 Invoice?
One invoice = one "Generate PDF" click. Each PDF you create consumes 1 quota. Uploading files, running OCR, or reviewing data doesn't count—only the final PDF generation.
When Do Quotas Reset?
Automatically on the 1st of each month at midnight UTC. If you used 5 invoices in October, you get 5 fresh invoices on November 1st.
How to Check Remaining Quota
Look at the page footer: "You have X of 5 free invoices remaining this month." Updates in real-time after each invoice generation.
Is 5 Invoices Enough?
For most users: Yes. Here's the data:
- • Typical freelancer: Invoices 2-4 clients per month → 2-4 invoices needed
- • Fractional executive: Invoices 3-5 clients per month → 3-5 invoices needed
- • Consultant (retainer): Invoices 4 clients per month → 4 invoices needed
- • Small business: Invoices 3-8 clients per month → May need paid tier
The free tier covers 80% of our users completely.
What Happens at Quota Limit?
If you've used all 5 invoices for the month:
- • "Generate PDF" button is disabled (greyed out)
- • Message shows: "Monthly quota exhausted. Resets on [date]"
- • You can still upload files and use OCR (doesn't count toward quota)
- • Quota automatically resets on the 1st of next month
